From field inspections
to maintenance closeout

lvsota links inspection forms, issue dispatch, and closeout documents in one workflow, so records filled in on a phone connect directly to the office tracking view.

Common problems

Inspection photos stay in messaging apps and records on paper. At shift handover or month-end closeout, office staff must re-match and retype them.

Follow one inspection finding through to closeout

Workflow example · Fictional equipment and records

An inspector finds an unreadable equipment label. Follow the same record through reporting, assignment, verification, and closeout documentation.

Inspection records lead to flagged issues, work order processing, and closeout documents. The coral path follows the same work order between stations.

  1. Report the finding

The inspector selects the equipment and checklist item, then adds the label location, observation time, and a photo for review.

An open finding keeps the reporter, equipment identifier, and original photo together.

  2. Create a work order

A manager reviews the finding and defines the work. They assign an owner, a target completion date, and a reviewer. The work order links to the inspection.

A trackable work order records responsibility, the due date, and any missing information.

  3. Record the work and verify it

The assignee follows approved procedures, then adds notes and an updated photo. A reviewer checks the label against the equipment record and records approval or a reason for return.

Before-and-after records and review comments stay with the work order. Returned work remains open.

  4. Prepare documents and confirm closure

The system compiles the verified work order, photos, and approvals into a closeout document. The designated reviewer confirms its contents and version.

The closeout document retains links to original records, the confirming reviewer, and the closure time.

System capabilities

Inspection forms and schedules
Turn the site's existing checklists into digital forms and schedule routine inspections, so staff tick items and record readings in the order they know.
Issues to work orders
Link each finding to its equipment and inspection record. Assign an owner and due date, then track the repair and verification through to closure.
Photos and approvals
Keep photos with their equipment, inspection item, and capture time. Preserve approval comments and revisions when work is returned for corrections.
Offline reporting
In basements or equipment rooms with weak signal, staff can fill in and photograph offline. On reconnection the app syncs, identifies failed uploads and conflicts, then confirms the system received each record.
Phone and desktop interfaces
Staff report from a phone in the field; the office uses a desktop view of all work orders to track progress and closeout.
Reports and closeout documents
Work hours, replaced parts, photos, and approvals recorded in work orders can be compiled into quotations, reports, and closeout documents, with document versions and closure confirmation preserved.

Implementation

  1. Review existing forms and workflows

Review inspection items, maintenance workflows, approvals, and document formats.

  2. Pilot

Test reporting and tracking with existing work, then adjust forms and workflows.

  3. Launch and maintenance

Launch the system and maintain and adjust it as operating needs evolve.

Connect equipment data and maintenance knowledge

Link equipment status to inspections and work orders. With manuals and completed maintenance records connected, AI can help find related repairs, source procedures, and report information. Results include references for review; qualified personnel carry out field work under approved procedures.
